Approving hours and confirming payroll

How approval locks a period, and what happens to expenses.

Everyone manages their own time. Viewing or approving anyone else's, configuring timers, and confirming payroll all require the `timesheets:approve` permission — granted by default to owners, dispatchers, and accountants.

Approving locks the period. New clock-ins, timers, or breaks inside an approved period are rejected outright until an owner reopens it, so numbers can't shift after sign-off. This is enforced, not just displayed.

Confirm payroll shows every team member's total hours for a period alongside their total reimbursable expenses for the same window, with a Paid/Unpaid toggle — so hours and out-of-pocket spend are settled in one place rather than two disconnected screens.

Job-agnostic timers (Break, Driving, Office, Supplies) come enabled out of the box — Break unpaid, the rest paid. You can rename, disable, or add your own. Renaming only affects new entries; past ones keep the label they were logged under. Only one timer or job clock-in can run at a time per person, so hours can't silently overlap.

QuickBooks Online payroll export (Business plan and above) posts approved hours directly as time activity — one entry per technician per worked day — once you've mapped your team to QuickBooks employees under Settings → Integrations → QuickBooks → Payroll. There's no Gusto or ADP sync; on every other plan, or for anyone not mapped, hours export as CSV/Excel/PDF and you enter or upload them wherever you actually run payroll. GPS geofencing does exist on mobile (automatic clock-in/out on arrival, opt-in per technician), and a manual clock-in noticeably away from the job's address flags the office.
