Privacy Policy
Effective July 28, 2026
1. What this policy covers
This Privacy Policy explains how Gruvik collects, uses, shares, and protects information when you use our field service management platform (the “Service”). It applies to account owners, their team members, and — where noted — the end customers of businesses that use the Service.
2. Information we collect
Account and business information: name, email, phone, business name, industry, and team size provided at signup.
Customer Data you enter: your own customers’ contact details, job/visit records, estimates, invoices, photos, notes, and payment history — entered by you or your team.
Location data: a technician’s last-known location while clocked into a job, used to show nearby technicians on the dispatch map. This is opt-in on the mobile app and is not a continuous tracking history.
Usage data: log data, device information, and product-analytics events used to operate, secure, and improve the Service.
Payment information: handled directly by our payment processors (Stripe and PayPal); we do not store full card numbers on our own servers.
3. How we use information
- To provide, maintain, and secure the Service;
- To process subscription billing;
- To send transactional email and SMS (invoices, reminders, notifications);
- To power AI-assisted features you use, such as drafting messages or summarizing data;
- To respond to support requests; and
- To detect, investigate, and prevent fraud or abuse.
4. AI features and third-party processors
Some features send relevant data to third-party AI providers strictly to generate a result you requested or to power the AI assistant — for example, Anthropic’s Claude models for chat, drafting, and business insights, and OpenAI’s Whisper model for voice-note transcription. These providers process the data solely to return a result to the Service and do not use it to train their own general-purpose models under our agreements with them.
Every AI-suggested action that would create, change, or send something on your behalf (a new job, an estimate, an email) is shown to you as a draft for your explicit confirmation before anything is saved or sent — the AI never silently commits changes to your account.
5. How we share information
We do not sell your personal information or Customer Data. We share information only with: service providers who process it on our behalf under contract (hosting, email/SMS delivery, payment processing, the AI providers described above); a business acquirer in the event of a merger or sale of Gruvik; and law enforcement or regulators when required by law.
6. Data retention
We retain Customer Data for as long as your account is active. If you cancel your account, we retain your data for a limited recovery window in case you wish to reactivate, after which it is deleted from active systems, subject to what we must retain for legal, tax, or accounting purposes.
7. Your rights
You can export your organization’s data or request deletion of your account and associated Customer Data at any time from Settings, or by contacting us at the address below. Depending on your location, you may have additional rights under laws such as the GDPR or CCPA, including the right to access, correct, or restrict processing of your personal information — contact us to exercise these rights.
8. Security
We encrypt sensitive credentials at rest, use per-organization data isolation, and apply role-based access controls throughout the Service. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Children's privacy
The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from anyone under 16.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated to active account owners by email or in-app notice before taking effect.
11. Contact
